ABOUT THE ROLE

We are seeking an experienced Parts Coordinator to support our mobile and fixed plant maintenance teams by ensuring the timely sourcing, ordering, receipting, and coordination of critical parts and materials. This role is essential to maintaining equipment reliability, minimising downtime, and ensuring smooth maintenance delivery across site operations.

As a key link between Maintenance, Supply, Warehouse, and external suppliers, you will uphold high standards of accuracy, communication, and compliance while working within Pronto and SAP ERP environments.

 

WHAT YOU WILL BE DOING

Maintenance Planning & Coordination

  • Coordinate parts for planned maintenance, shutdowns, and servicing.
  • Support urgent breakdown repairs by expediting critical components.
  • Monitor work order demand and follow up supplier delivery timelines.
  • Prioritise urgent requirements with Maintenance Supervisors.

Supplier & Procurement Management

  • Raise purchase requisitions and orders in Pronto/SAP.
  • Coordinate urgent pickups, couriers, and hot-shot deliveries.
  • Manage supplier discrepancies (short supply, incorrect items, pricing issues).
  • Confirm availability, lead times, and specifications with suppliers.

Warehouse & Inventory Support

  • Resolve picking slip discrepancies and support goods receipting and RTS.
  • Assist with stocktakes, cycle counts, and stock documentation.
  • Flag slow-moving or obsolete stock to Supply and Planning teams.

ERP & Documentation

  • Maintain accurate records across purchase orders, manifests, MSDS, delivery documents, and audit trails.
  • Ensure data accuracy in Pronto/SAP for inventory, invoicing, and work order allocations.

Communication & Stakeholder Engagement

  • Liaise effectively between Workshop Planners, Supervisors, Warehouse, Procurement, and suppliers.
  • Provide updates on delays, shortages, and risks to maintenance schedules.
  • Participate in toolbox, planning, and shutdown preparation meetings.

Safety, Compliance & Site Support

  • Follow WHS obligations, Chain of Responsibility, fatigue and DG requirements.
  • Log hazards/incidents via SAI360.
  • Assist with shutdown support, warehouse tasks, and general stores duties.

 

SKILLS AND EXPERIENCE

Essential

  • Experience in parts coordination, procurement, warehousing, or maintenance support.
  • Experience using Pronto, SAP, or similar ERP systems.
  • Knowledge of mobile or fixed plant equipment parts.
  • Understanding of WHS, CoR, and load restraint standards.
  • Strong organisational skills and high attention to detail.

Desirable

  • LF Forklift Licence.
  • Experience in mining or heavy industry.
  • Ability to interpret OEM manuals, diagrams, and parts lists.
